Too Many Meetings and What To Do About It

[00:00:00] As we come to the end of the year, let's take time to reflect on our day. Does your team have too many meetings that don't add value? I regularly have people tell me that they have a minimum of 10 meetings per day. So it is time to reissue my meeting challenge. If you have more than six meetings in any day during the week, I want you to reduce that by 50% in the next two weeks. And then I want you to watch the faces on your teams as they celebrate having time for more value added interactions. Here are some ideas to try.

[00:00:36] If you were sharing information or updates, try using email or a Wiki page with update alerts.

[00:00:43] If you want consensus on a specific topic or question, use voting polls or buttons.

[00:00:50] Do you need a status for leadership reporting and you're not already using a tracking tool such as a Kanban board that is accessible to everyone? Well, create a collaborative space where everyone can fill in their details. But then get that space to be a regular part of your work culture.

[00:01:10] Do you need input on a topic? Don't worry. There is a non meeting solution for this too. Set up a page or space where everyone can enter their ideas and upvote others. And then once you have narrowed the selection, have a meaningful conversation as a meeting.

[00:01:30] And finally the one that always gets us is meetings to provide upper management- notice, I did not say leadership- with a comfort level. Talk to them about what specific value added details they need from you that are not already easily available. Try to involve them in your strategy on how you manage work to give them a comfort in what is happening behind the scenes.
